UK Falls behind in European e-Business Race

europeancommisionAccording to a recent European Commission Survey the UK is well below average in harnessing the benefits of e – business.

Overall on e-business indicators, the UK came in at 28th out of 31 countries according to the scoreboard report published by the EC. The report shows the performance of countries delivering on the agreed targets of the Digital Agenda for Europe.

The Digital Agenda, launched last year, commits the European Commission and its member states to carry out specific actions to boost investment in, and use of, digital technologies.

In e-business, the EC ranks countries against indicators such as the number of businesses that share electronic information on the supply chain and how many enterprises use e-invoices.

The UK performed the worst against the electronic supply chain management indicator (6.7 percent of firms) and on exchanging business documents suitable for automatic processing (14.5 percent of firms), coming in 30th place on both, above only the Netherlands and Cyprus, respectively.

The top performers in these categories were Italy for automatic exchange of business documents and Croatia for electronic supply chain management.

The UK also ranked in the bottom five countries for the number of large (60.7 percent, 28th place) and small (26.1 percent, 29th place) enterprises that use software to share information on sales and purchases electronically and automatically, and for the number of enterprises that send or receive e-invoices in a format suitable for automatic processing (13.6 percent, 27th place).

Against these indicators, the UK only ranked higher than countries such as Lithuania, Romania, Bulgaria, Slovenia and Hungary.

These figures are quite surprising, and certainly don’t reflect the trends we at Prime Document are seeing, indeed we are experiencing considerable growth in our ecco service.

Royal Mail faces a difficult 2011

Watch out for big changes in the Royal Mail as they restructure to adapt to the effect of deregulation and a general reduction in mailing volumes.

The reasons behind the reduction in volume are in the main attributable to the recession, as Banks and Finance Companies tighten up on lending and consequentially the associated Direct Mail. It’s also worth pointing out that a number of previously mailed documents, both transactional and marketing, are now being communicated electronically.

Couple this with the fact that DSA postal providers such as TNT are applying automation and mail collection services and you can see that the Royal Mail will require a controlled downsizing. It is anticipated that 25% of the Royal Mail’s work force will lose their jobs as Privatisation looms.

In many ways these changes are reflected in a very positive way at Prime Document, we are seeing an increase in the requirement for our ‘ecco service’ as people realise the savings and efficiencies that can be made by eBilling and fast access document storage and retrieval. Prime’s latest addition to its mailing fleet, the DS1200

Prime Document’s new DS1200 has an impressive ability to enclose 26000 A4 pages per hour into 12000 C5 envelopes. This increases Prime’s capacity to enclose their clients business critical documents by 50%. We now have the capacity to insert 47 000 documents per hour with additional inserts into 22 000 C5 envelopes.

ecco— Prime Doc’s Electronic Document Management service

Ecco is designed as a full electronic document storage, retrieval and distribution system which works in the following way. Data is submitted to Prime Document over secure FTP links.

This data is processed and print streams are generated for the production of hard copy documents in the normal way. This data however is also processed through bespoke routines that generate multi indexed PDF files which are then ingested into a secure remote server. Once resident on this server they are available for viewing on a secure user name/password basis over 128k encrypted links.

Users will simply log onto the system over the internet and access the documents by keying in index fields. These can be specific document numbers like invoice numbers or a whole range of Boolean search facilities. If more than one document type is within this system, results will contain all document types for the given search criteria. Additionally and on a selective basis documents can be ebilled to the recipients and their response monitored and reported on by the system

Brammer Case Study

Business Process Outsourcing Solution for Brammer UK Limited

Brammer works with UK industry to deliver millions of pounds worth of cost savings through innovation and added-value solutions.

Integral to this philosophy is how Brammer communicates with its own clients

Improving the quality of Sales Ledger Mailings and at the same time reducing costs was one of the challenges facing Brammer UK Limited.

For many years Brammer has been printing and mailing Sales Ledger documents from its Manchester Head Office.  When further investment was required to update equipment Brammer decided to look at the alternatives and included the option of Business Process Outsourcing (BPO).

Prime Document provided a detailed report of the business process and associated costs.  This was followed by a number of recommendations to re-engineer the business process.

A very convincing Cost Benefit Analysis report was produced along with detailed improvements to the process, aimed at making the documents clearer and to help reduce the number of billing queries and improve client satisfaction.

Prime Document has developed specialised data processing routines which enables different print streams to be matched and merged into the same pack.

This has the advantage of reducing postal costs to Brammer by more than 25% but also means that their Client receives one consolidated pack of sales ledger documents for payment authorisation.

Brammer had not been able for technical reasons; to review their letter design but Prime Document were able to provide a design which has prompted a greatly improved response from customers. Each letter is now personalised with the signature of the Credit Controller responsible for the account and contains their direct contact details. In addition, Prime suggested that details of the balance be sent with each letter, to avoid unnecessary calls, and Brammer hope shortly to be able to provide Prime with the data to enable this.

The next phase of the solution will be to provide a copy of the signed Proof Of Delivery printed to the reverse of the Invoice and host these documents on-line.
